Purpose

Entec International Ltd (“Entec”) believes in keeping your personal information safe and not sharing it if it doesn’t have to be. To operate our services, we need to collect some personal information about you and this policy will explain what we do and why we do it. This policy sets out the Entec’s commitment to data protection, and individual rights and obligations in relation to personal data.

This policy applies to clients of Entec International and the Entec Global Group.

What we collect, how we use it and who we share it with

When placing a price request / order

When you place your price request / order with Entec we need to capture certain pieces of information about yourself and your company to enable us to respond and update you as we meet your need. The information that we collect is your name, email address, company, position within that company and a contact telephone number. We collect this information so that we know which company you are placing a price request / order on behalf of.  This information may be shared with other members of your company or with third parties such as Entec’s suppliers, as we manage technical questions together, or with shipping agents and handling partners as Entec provide a logistics and delivery service.

When visiting the website

When someone visits www.entec-int.com we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. We also use Cloudflare to provide content distribution, security and DNS services for web traffic transmitted to and from Entec. It allows us to efficiently manage web traffic and help secure the application from malicious activity. The primary information Cloudflare has access to is information in and associated with the Entec website URL that the user is interacting with, this includes End-User IP address. All information including service data contained in web traffic transmitted to and from Entec is transmitted through Cloudflare’s systems, but Cloudflare does not have access to this information. If you use the “contact us” form then your name, email address and phone number will be email to support@entec-int.com along with your message so that it can be forwarded on to the correct person to be actioned.

If we do want to collect personally identifiable information through our website, we will be open about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

When signing up for and using Entec Track & Trace app

When you register for access to the Track & Trace application we capture your name, email address, company and position within that company. The data that we capture during registration is used to authenticate and create your account and then verify that you have ownership of the orders which you and your company have placed with Entec International Ltd. This information is kept separately from the data captured when placing a request / order.

If you download the mobile application and accept push notifications then we will also capture your device id. This is captured to enable Entec to send you notifications via the mobile app, these notifications consist of messages such as; Order confirmations or Despatch notifications. We currently use ‘Firebase’ to send out these notifications.  Firebase does not retain any information once the notification has been sent. All information collected by Entec may be shared within the Entec Global Group only if there is a need for this information to be shared.

We release account and other personal information, when we believe release is appropriate, in order to comply with the law; enforce or apply our Conditions of Use and other agreements; or protect the rights, property or safety of Entec; our users or others. This includes exchanging information with other companies, such as banks and insurers, for fraud protection and credit risk reduction. Entec do not sell, rent, share or otherwise disclose personally identifiable information from customers for commercial purposes, in a way that is contrary to the commitments made in this Privacy Notice.

How we store the information

We take great care to keep your personal information safe. All data is stored on secure servers at Entec main offices in the UK. Access to these servers is restricted, sitting behind both physical and virtual security such as firewalls, passwords and locked doors to prevent unauthorised access. Any systems that access this information require passwords and staff access is controlled by security doors requiring various levels of authorisation prior to entry.

Any information that is backed up, is securely sent and stored in Amazon AWS which is only accessible by authorised personnel. Details of Amazons policy’s and security measures can be found here.

Data Retention and Destruction

Users accessing the Track & Trace application have the ability to delete their account with immediate and irreversible effect by clicking on the “Delete Account” under the account settings. This will remove all personal information recorded during the registration process.

All data that is captured during the price request / order process is handled separately and will require a formal request for that the information be removed.  This can be achieved by emailing Entec at support@entec-int.com.

What we don’t and won’t ever do

We don’t, and never will sell or rent your information to any third party.

Access to personal information

Individuals can find out if we hold any personal information by making a ‘subject access request’. If we do hold information about you we will:

  • give you a description of it;
  • tell you why we are holding it;
  • tell you who it could be disclosed to;
  • let you have a copy of the information in an intelligible form.

To make a request for any personal information we may hold you need to put the request in writing addressing it to our Information Governance department, or writing to the address provided below. If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone. If we do hold information about you, you can ask us to correct any mistakes.
